Most Maltese businesses have automated more of their operations in the last five years than in the previous fifteen. Stock, invoicing, payroll, reporting and customer records have all moved into systems that update themselves. One process has stubbornly stayed manual: counting the cash.

Centric has completed certification for the Cashlogy integration with Odoo POS, carried out alongside OMNITRADE Operations, Cashlogy's certified partner in Malta. The certification involved full virtual testing of the integration followed by a formal examination. Centric is now certified to implement it for clients.

This article explains what the integration does, which businesses it suits, and why it matters if you are already running Odoo.

The problem with cash in an otherwise automated business

If your business takes a high volume of cash, the daily routine is familiar. A float is counted into the drawer at the start of the shift. It is counted again at handover. It is counted a third time at closing, usually by someone who wants to go home.

Three things follow from that:

The numbers rarely match exactly. Small discrepancies are common and most businesses simply absorb them. Over a year, across multiple tills, they add up to a figure that is never properly measured because nobody has the data to measure it.

The cash position in your ERP is always out of date. Odoo knows what was sold. It does not know what is physically sitting in the drawer until someone counts it and enters the figure. Between counts, you are working from an estimate.

Staff time goes into administration instead of customers. Counting a till takes fifteen to thirty minutes at the end of a shift. Multiply that across every shift, every outlet, every week.

None of this is a failure of your ERP. It is a gap between the physical handling of cash and the system that records it. The integration closes that gap.

What Cashlogy does

Cashlogy is an automated cash handling system manufactured by Azkoyen. Rather than a staff member taking notes and coins by hand and calculating change, the customer pays into the machine and the machine returns the exact change.

The practical characteristics matter here:

  • It processes cash quickly, handling several coins and a banknote per second, and returns change in a matter of seconds.
  • It does not accept counterfeit notes or coins, which removes that risk entirely.
  • It recycles the coins and notes it takes in, so it is far less likely to run short of change during a busy period.
  • Cashiers never physically handle the cash, which improves both hygiene and internal security.
  • Cash levels can be monitored remotely across one or several outlets.

On its own, that already solves the counting problem at the drawer. What it does not solve on its own is the accounting problem, which is where Odoo comes in.

What the Odoo integration adds

Without an integration, Cashlogy and Odoo operate as two separate systems that happen to sit on the same counter. Someone still has to reconcile one against the other.

With the integration in place, the two systems talk to each other. The sale is processed in Odoo POS, the payment is taken by Cashlogy, and the transaction is recorded in Odoo as it happens. No re-keying, no end-of-day entry, no reconciliation exercise.

The outcome for a business running both:

  • Exact change on every transaction. Cashier error is removed from the equation.
  • No manual counting at shift changeover. Staff hand over without a count.
  • No end-of-day reconciliation. The drawer and the system already agree.
  • A live cash position. Your Odoo reporting reflects what is actually held, at any moment, across every outlet.
  • A cleaner audit trail. Every movement of cash is logged against a transaction rather than reconstructed afterwards.

Which businesses this suits

The integration delivers most value where cash volume is high and staff turnover at the till is frequent. In Malta, that typically means:

  • Retail outlets and minimarkets
  • Bakeries and confectioneries
  • Pharmacies
  • Quick service restaurants and takeaways
  • Kiosks and stationers
  • Ironmongeries and hardware outlets

It is less relevant to businesses where cash is a minor share of payments, or where a single owner handles every transaction personally. We will tell you plainly if that describes your operation.

Why certification matters

Any integration between a hardware system and an ERP can be made to work in a demonstration. The difficulty appears in live conditions: during a rush, at shift changeover, when a transaction is voided, or when the connection between the two systems drops mid-sale.

Certification exists to test those conditions before a client encounters them. The process required Centric to complete virtual testing across the integration and then sit an examination on it. It confirms that the implementation is being carried out by a team that understands both sides of the connection rather than one of them.

That distinction matters when something goes wrong at four o'clock on a Saturday. You need a partner who can diagnose whether the issue sits in the hardware, in Odoo, or in the link between them.
