If you've ever looked into Odoo, you've probably felt a bit overwhelmed. There are over 40 official apps — Sales, Inventory, Accounting, Manufacturing, Field Service, Recruitment, Marketing Automation, and on and on. Odoo's own marketing doesn't help much either, because it's designed to make you feel like you need all of it.

You don't.

The businesses that get the most out of Odoo are the ones that start with 3-5 apps that map directly onto how they actually run their operations, and expand later — not the ones that try to implement the whole suite in month one. The businesses that struggle are usually the ones that bought based on a feature list instead of a workflow.

So instead of walking through all 40+ apps generically, here's how this actually plays out for the kinds of businesses we see day to day in Malta.


Case 1: The importer/distributor (think: an FMCG or health food importer supplying local retailers and supermarkets)

A business like this typically holds stock in one or two warehouses, sells to dozens of retail accounts, and deals with constant back-and-forth between "what's on the shelf," "what's on order," and "what's been invoiced."

Core apps that actually matter:

  • Inventory — for real stock counts across locations, so sales reps stop promising stock that isn't there
  • Sales — for quotations and order tracking with retail clients who order on repeat cycles
  • Purchase — to tie incoming stock from overseas suppliers to what's actually been sold, and catch reorder points before you run out
  • Invoicing/Accounting — especially useful once tied to Malta's VAT and e-invoicing requirements, so nothing gets missed at quarter-end
  • Barcode (add-on to Inventory) — for warehouse staff doing goods-in/goods-out without a laptop in hand

What they usually don't need yet: Manufacturing, Field Service, Helpdesk, Marketing Automation. Adding these early just adds screens nobody uses.

Real workflow example: A rep takes an order from a supermarket buyer on their phone using the Sales app. Stock is reserved automatically from the correct warehouse in Inventory. When the driver delivers, a delivery order is validated, which automatically triggers the invoice. No spreadsheet reconciliation at the end of the month, because the whole chain — order, stock, delivery, invoice — is one connected record.

Case 2: The independent pharmacy or specialist clinic (health & aesthetics services with retail products)

This is a hybrid case — part retail counter, part appointment-based services, often with specific products that need expiry tracking.

Core apps that actually matter:

  • Point of Sale (POS) — for the retail counter, ideally with a barcode scanner integration for over-the-counter products
  • Appointments — for booking consultations with specific practitioners, avoiding the double-booking chaos of a paper diary or shared Google Calendar
  • Inventory with lot/expiry tracking enabled — critical for anything pharmaceutical or cosmetic, where FEFO (first-expiry-first-out) actually matters for compliance, not just tidiness
  • Accounting — tied directly to POS so daily till reconciliation isn't a manual end-of-day task

What they usually don't need yet: Manufacturing, Purchase automation (unless ordering volume from many suppliers), Field Service.

Real workflow example: A product batch arrives with a 12-month expiry. It's logged into Inventory with a lot number and expiry date. When a staff member scans it at the POS counter to sell it, Odoo can be configured to prioritise the oldest batch automatically. At month-end, a quick filtered view shows exactly what's expiring in the next 60 days — instead of someone manually checking shelf dates.

Case 3: The boutique guesthouse or small hospitality operator

Malta's hospitality scene has a lot of small, owner-run operators — guesthouses, small restaurants, event spaces — where the owner is doing marketing, bookings, and the books all themselves.

Core apps that actually matter:

  • Point of Sale — for the restaurant/bar side, if applicable
  • Sales or Appointments/Bookings-type setup — depending on whether it's rooms, tables, or event space being booked
  • Accounting — simplified, mainly for VAT returns and supplier bills
  • Website — often the most underused Odoo app for this segment; a lot of small hospitality businesses are still relying on a Facebook page as their "website," and Odoo's Website builder can double as a booking front-end tied directly into the backend

What they usually don't need yet: Manufacturing, Recruitment (unless actively scaling staff), Field Service.

Case 4: The professional services or agency-style business (consultancy, accounting firm, marketing agency)

Here the "product" is time and expertise, not physical stock — so the priorities flip.

Core apps that actually matter:

  • Project — to track client work, deliverables, and deadlines in one place instead of email threads
  • Timesheets — tied directly to Project, so time logged against a client becomes billable hours automatically
  • Invoicing — ideally set up so hours logged in Timesheets convert into an invoice with almost no manual re-entry
  • CRM — for tracking leads and proposals through a pipeline, especially useful once referrals start coming from multiple sources and get lost in inboxes

What they usually don't need yet: Inventory, Manufacturing, POS — obviously.

Real workflow example: A consultant logs 4 hours against a client project in Timesheets. At the end of the month, those hours are pulled directly into an invoice draft — the biggest time-saver here isn't tracking time, it's removing the manual step of turning tracked time into a bill.

Case 5: The small manufacturer or light assembly business (food production, packaging, small-batch goods)

Core apps that actually matter:

  • Manufacturing — for bills of materials (BoM) and production orders, even if "manufacturing" just means assembling or packaging components
  • Inventory — to track raw materials in and finished goods out
  • Purchase — tied to raw material reorder points, so production doesn't stall waiting on ingredients
  • Quality (optional but valuable for food production) — for basic checks tied to production orders

What they usually don't need yet: Field Service, Recruitment, Marketing Automation (early on).

The pattern across all five

Notice what's consistent: nobody above needs all 40+ apps. Everybody needs 3 to 5 apps that are genuinely connected to each other — where one action (a sale, a booking, a production order) automatically creates the next record downstream, instead of someone re-typing the same information into three different systems.

That's really the whole point of Odoo over a patchwork of separate tools: it's not that any single app is dramatically better than a specialist alternative, it's that the apps share one database. A sale updates stock. Stock updates accounting. Time logged updates invoicing. That's where the actual time savings come from — not from having more features.

A quick gut-check before you implement anything:

  • What are the 3-4 things your business does every single day? (Take an order, log a booking, track a job, sell a product)
  • Which app maps directly onto each of those?
  • Everything else can wait until those core workflows are running smoothly
